Introduction: How to renew your sales tax Certificate of Authority

A new law requires you to renew your Certificate of Authority. You must be a responsible person Help  and have a social security number to complete the application online.

You must complete the renewal on paper if your business has more than five responsible persons.

If you are out of business you don’t have to renew your Certificate of Authority. You must follow the appropriate procedures to end your business with the Department.

 Before beginning your renewal application:

See the checklist of information needed to complete the renewal process to get organized. Once you start the application, you can save your information and return to it later.

Decide how you will pay for the renewal (if you are required to pay):

  • Monthly and quarterly filers must pay a $50 application fee. You may pay directly from your bank account or by check.
  • Annual filers do not have to pay the application fee.

Have your notification letter handy, you will need your sales tax identification (ID) number and renewal code to apply online.

If you can’t find your letter: Please call (518) 457-0260 (in-state callers without free long distance, call 1 888 200-2126), you must know your sales tax ID number for us to provide you with your renewal code.

If you didn’t receive a letter: You must wait to get a letter from the Tax Department. Recipients are chosen by random selection.

Responsible persons - A responsible person is all owners, partners, members, officers, and responsible persons who are responsible for the business’s day-to-day operations. This generally includes anyone who signs checks on the company’s bank account, signs business tax returns, pays creditors, hires and fires employees, determines which bills are to be paid, attends to the general financial affairs of the business. Partnerships should include all general partners and limited partners who are active in running the business. Limited liability companies (LLC) should include all members.
